The Payroll Module
What is the Payroll Module?
The payroll module is a tool to help you simplify complex compensation plans.
With the payroll module, you can simplify and automate the time-consuming task of manually calculating payroll. Using the data from across all of your locations, you can enter your fees and compensation plans once. This allows Jarvis to propagate your information to every location, giving transparency to your providers and simplifying your life.
This transparency allows your providers to see an itemized view of their compensation, allowing them to identify how their pay is broken down.
Instead of manually tracking down the reports from your PMS, printing them off, and inputting the data by hand, Payroll allows you to quickly aggregate provider pay structure into one place, and then export that one spreadsheet to your payroll administrator.
Example
Alice is the payroll specialist and has multiple locations with doctors, hygienists, and specialists that are compensated on several different compensation plans. She wants to spend less time manually calculating how each provider’s compensation is calculated. During her initial setup of the Payroll module, Alice sets the basic pay structure for all the providers and inputs special fees for providers with unique pay structures. After the initial setup, she returns to the Payroll Module each pay period to generate payroll with the click of a button. Using this report, Alice can quickly provide accurate payroll numbers to her payroll administrator and supply providers with a detailed view of their pay structure.
Steps for using the Payroll Module
Step 1: Add Providers to Payroll
If you have not added your providers yet, go to the Providers tab. Adjust the date to a paycheck you want to look at, and click Refresh. Using the + button, add any missing providers. Using both tabs, fill out the fields for the provider you have selected. These fields will be custom to your instance of Jarvis. Once every field is correctly filled out, click Add Payroll. Return to this step as your providers and their compensation structure change.
Step 2: Enter Fees
Start by going to the Fees tab. This is the location where you can add or remove something from a payroll, which would include your fees, allocations, takeaways and adjustments. You should fill this out each pay period. Download, correctly fill out, and upload the template from the indicated buttons to mass upload fees.
Uploading fees: Using the template, enter the information for the fees you would like to add. Once it is complete, upload the document using the Upload button
- You should also have received a key from your Jarvis Support team member to assist with this.
Step 3: Review Payroll
Going to the Payroll tab, use the Generate Calculations button to look at each provider’s total payroll, fee balance, and total amount due.
Step 4: Export Calculations
Once you have completed your initial setup of adding providers, entering any unique fees for the providers, and updating the Payroll Tab, you can now export your report. Go to the Calculations tab, here you can see the final calculated payroll for all the providers. The usages for this page include:
- Review individual providers with the
button
- If you review a provider’s payroll, you can:
- Email the report to someone with the Send as Email button
- Generate a report of one provider’s payroll using the Generate PDF button
- If you review a provider’s payroll, you can:
- Delete Providers from the report with the
button
- Email all providers their report using the Bulk Email Calculations
